We pride ourselves on making the processes of scheduling a performing artist at your school or event as easy as possible. However before you call, it helps if you have the following information ready:
Which performers are you interested in hosting?
Most of our touring artists are local and available year-round but there are a few that have very limited availability. It helps if you have a few groups in mind that fit within your budget. If you need more information or help making a decision, please call us. We’re here to help.
What are some dates that work with your schedule?
Have a few possible dates available. The more options you have, the more likely we are to find something that will work with both your schedule and the artists’ schedule. Be sure to check your school’s master calendar for testing, holidays, and any other possible interruptions or school closures.
How many assemblies would you like for each performance?
All assemblies are 45 minutes in length. Artists will need the full allotted time to complete the assembly.
How many students will be attending each assembly, and what are their grade levels?
Assembly capacities are either 350 or 500 so please note how many students will be attending each assembly to avoid overcapacity fees. The vast majority of our shows are designed with a K-12 audience in mind however there are a few exceptions which can be found in our artist directory.
What time will each assembly be?
If scheduling more than one assembly please allow at least 10 minutes in between each show. Also try to avoid breaks of more than one hour between shows.
Where will the assembly be?
Please know the potential location of the assembly. Be sure to check on dimensions of the performance areas, floor surfaces and the availability of technical equipment like microphones and lighting. All of our artists’ technical requirements can be found in the performing artist directory pages.
The Music Center on Tour Frequently Asked Questions
1. How does the process work?
After you have collected the above information, you can call us at 213-972-4310 or use our online order form to place your request. A member of our staff will go over the information with you and begin the process of confirming the artists’ availability. Once everything has been confirmed on our end, you will receive a verification of funding document that needs to be signed by you and your principal within two weeks of receipt. As soon as we receive the signed document, your performance is confirmed. We’ll send additional documents about two weeks before the performance and reconfirm the performance details. Then it is show time! An invoice will be sent after your last scheduled performance.
2. Can the Music Center provide a certificate of insurance for our assembly program? Will you be able to sign a contract with our school/district? Can you provide us with a W9?
Yes, the Music Center can provide a certificate of insurance to an individual school, district, or event. We normally will sign most school contracts and can provide you with a W9.
3. What is your cancellation policy?
If you cancel an assembly less than 48 hours before a performance, the school or your organization will be billed for a single performance by that artist. Cancellations of more than 48 hours prior to the event will result in no penalty.
4. Does the Music Center book performances for evening and weekend events outside of school settings?
Yes we do! Do note that some artists charge evening/weekend fees and over capacity fees.
5. How does payment work? Do you need a deposit?
We do not require a deposit. About a week after the performance, you’ll receive an invoice in the mail. You have 30 days to pay upon receipt of the invoice. We do ask that you wait until you receive the invoice before you send payment.
6. Do you still do a showcase?
No. However many of our artists have videos on our website. If you need more specific information about an artist, please give us a call.
7. I have no idea where to start. Can I just call and ask questions?
Absolutely! You can call us at any point in the process with questions at 213-972-4310. We are always happy to help.
